1. What is The Authority Builder?
The Authority Builder is Portia & Cleo's done-for-you content system for female-led and community-based businesses that want their expertise made visible, consistent, and impossible to ignore.
In a service-based business, you are the brand. Your expertise, your perspective, and your way of thinking are what clients are buying before they ever book a call.
The Authority Builder takes that expertise and turns it into a cohesive body of content across the digital spaces where your audience is already looking for you.
This isn't about filling a content calendar. It's about building authority.
2. How is The Authority Builder different from social media management?
Social media is only one part of the system.
The Authority Builder looks at your larger digital presence and how your content works together across your blog, email, Substack, LinkedIn, Instagram, Google Business Profile, and other platforms included within your individual scope.
The goal isn't simply to keep your accounts active.
It's to establish what you know, what you believe, what makes your perspective different, and why someone should trust you as the expert.
3. Why do we start with long-form content?
Long-form content gives us room to fully develop your expertise.
Rather than coming up with disconnected social posts every week, we begin with larger ideas and use those as source material for the rest of your content system.
One strong idea can become a blog, LinkedIn post, Instagram carousel, newsletter conversation, Substack article, branded slide, or another piece of supporting content.
That is how we create cohesion instead of constantly reinventing what to say.
4. Will the same content be posted on every platform?
No.
The idea may travel across platforms, but the execution should change.
A LinkedIn post shouldn't read exactly like an Instagram caption. Your newsletter should give your audience something different than your social content. Google Business Profile serves a different purpose than Substack.
We adapt the same strategic thinking to the behavior and audience of each platform rather than simply copying and pasting content everywhere.
5. What role does each platform play?
Every platform should have a job.
Instagram can create visual connection, storytelling, personality, proof, and community.
LinkedIn can build professional authority, referral relationships, industry visibility, and thought leadership.
Your blog gives your expertise a permanent, searchable home.
Email gives you direct access to an audience you own rather than an audience controlled by an algorithm.
Substack can create another space for deeper thought leadership, discovery, and ongoing conversation.
We do not need to treat every platform equally. Part of our strategy work is determining which platforms matter most for your specific goals.
6. What is the difference between reach, impressions, and engagement?
Reach tells us how many individual accounts saw your content.
Impressions tell us how many times your content was displayed.
Engagement tells us what people did after seeing it—liking, commenting, sharing, saving, replying, or clicking.
None of these numbers tells the entire story by itself. We look at them together and in relation to what the content was actually designed to accomplish.
7. What metrics should I care about?
That depends on what we're trying to achieve.
For visibility, we may look at reach and impressions.
For connection, we may look at engagement, comments, shares, saves, replies, and conversations.
For traffic, we may look at clicks and website activity.
For business development, we may look at inquiries, discovery calls, DMs, referrals, and conversions.
A metric is only useful when we understand what we're asking it to measure.
8. How do I know if my content is actually generating business?
We look beyond platform analytics.
I want to know:
What kinds of DMs are you receiving?
What conversations are starting?
Are referral partners mentioning your content?
Where are inquiries coming from?
Are people entering discovery calls already familiar with your expertise?
Are people saying, "I've been following you for a while"?
Those are important conversion signals that Meta, LinkedIn, Google, and other analytics dashboards cannot always show us.
Content often builds trust long before someone is ready to make an inquiry.
9. Should I worry if a post doesn't get many likes?
No.
Likes are one metric.
A post could receive relatively few likes while generating a website visit, DM, referral, save, share, speaking opportunity, discovery call, or visibility with exactly the right person.
We evaluate content based on what it was designed to accomplish—not whether it won a popularity contest.
10. Why did one post perform better than another?
Different topics, hooks, formats, timing, audience behaviors, and platform conditions will produce different results.
We do not make major strategic decisions based on one post.
We look for patterns over time and use those patterns to determine what we should lean into, what needs more time, and what we may want to change.
11. Why aren't we posting every day?
Because more content does not automatically create more authority.
The Authority Builder prioritizes consistency, quality, cohesion, and strategy over volume.
Every piece of content should have a reason for being there.
12. Do hashtags still matter?
They can provide context, but they are not the foundation of your discoverability strategy.
Clear language, relevant topics, searchable copy, strong positioning, and consistently demonstrating your expertise are far more important than finding a perfect set of hashtags.
Our content strategy considers how people are discovering information through traditional search, social search, and increasingly AI-powered search experiences.
13. Do I still need to engage if my content is being created for me?
Yes.
The Authority Builder can take the content strategy and creation off your plate. It cannot replace your relationships.
When a client comments, a referral partner shares something, or someone you want to know starts a conversation, your participation matters.
Your content creates opportunities for connection. You still need to participate in the relationships that come from it.
14. How much time should I spend engaging?
You do not need to spend hours every day on social media.
Even 10–15 intentional minutes responding to comments, participating in relevant conversations, supporting referral partners, and engaging with people you genuinely want to know can be valuable.
Think intentional relationship building—not endless scrolling.
15. How should I personally use Instagram?
Use Instagram to add the personal and immediate moments we cannot manufacture on a content calendar.
Stories, behind-the-scenes moments, events, quick thoughts, client celebrations, community involvement, and genuine interaction all help people experience the person behind the expertise.
The Authority Builder gives you the strategic foundation. Your real-time presence adds another layer to it.
16. How should I personally use LinkedIn?
Treat LinkedIn like networking, not broadcasting.
Engage with clients, peers, referral partners, industry leaders, and potential collaborators. Respond when people engage with your content. Comment thoughtfully when you genuinely have something to add.
The Authority Builder creates and distributes your thought leadership. Your participation helps build relationships around it.
17. What about Substack?
Substack can be an excellent place to build deeper thought leadership, but publishing alone does not necessarily create growth.
Like any community-based platform, your participation can matter. Notes, comments, recommendations, subscriptions, and engagement with other writers can help create visibility around your work.
If Substack is part of your strategy, we will determine what role it should play and what level of personal participation is realistic for you.
18. What do you need from me each month?
I need access to your expertise and what is actually happening inside your business.
Bring me client questions, observations, opinions, business updates, wins, challenges, upcoming events, priorities, photos, videos, and the ideas you want to be known for.
You don't need to turn those things into content.
That's my job.
I do need you to provide requested information, materials, feedback, and approvals within our established deadlines so I can do that job effectively.
19. What if I don't know what to talk about?
That's part of the strategy work.
The questions your clients ask, the problems you solve every day, the things you believe about your industry, the conversations you're having, and the knowledge you've accumulated through your work are all potential content.
You bring the expertise.
I help identify the story, shape the message, and determine where it should go.
20. How long does it take to see results?
Different goals move at different speeds.
Within the first 60–90 days, we can begin looking for early indicators and patterns around visibility, engagement, audience behavior, traffic, and thought leadership positioning.
Meaningful movement in inquiries and conversion often requires a longer runway. Depending on your business, sales cycle, seasonality, and starting point, I generally want us looking at a six-month body of work before making major assumptions about business-development performance.
At 9–12 months, we have a much stronger body of data and content to understand what is consistently creating visibility, trust, inquiries, and conversion.
Authority compounds. We are building a body of work, not chasing a viral moment.
21. How will we measure progress?
We establish a baseline at the beginning of our work together and track relevant metrics throughout the engagement.
Each month, I will compile available analytics from the platforms included in our work and prepare a reporting snapshot before our strategy meeting.
We will look at quantitative data alongside qualitative business signals because platform analytics alone cannot tell us everything we need to know.
22. What is the Client Pulse?
The Client Pulse is your portion of our monthly reporting process.
You will spend approximately 30 minutes giving me information I cannot access through an analytics dashboard.
We may look at conversations, DMs, referrals, inquiry sources, discovery calls, and what people are saying about your content.
We will also look at something equally important: your bandwidth.
How are you feeling about showing up?
Does the strategy feel sustainable?
What feels energizing?
What feels draining?
The marketing has to work for your business and for the person responsible for showing up inside it.
23. What happens if I don't complete my Client Pulse by the deadline?
Your completed Client Pulse is required for us to have an analytics and performance discussion during that month's strategy call.
If it is not submitted by the requested deadline, we will not conduct an analytics review or analytics-based strategy discussion that month.
Your contracted time will instead remain focused on content strategy and creation.
Missed analytics reviews do not roll over, accumulate, or get added to a future month.
24. How often do we formally evaluate the strategy?
We are always paying attention to what we're learning, but I generally want at least 60 days of data before making significant assumptions about whether something is or isn't working.
We will have formal 60- and 90-day checkpoints, and we will continue evaluating performance throughout the engagement.
If something clearly needs to change sooner, we can absolutely pivot. Strategy should be structured, not rigid.
25. What does our monthly strategy call look like?
Each month, we meet for 90 minutes.
When your reporting requirements have been completed on time, we will use the beginning of the meeting to review analytics and business signals.
We aren't going to sit together and read a report.
We are asking:
What is this telling us?
What should we lean into?
What needs more time?
What should we test or change?
From there, we move into forward-looking strategy and determine the priorities that will inform the next round of content.
26. What is my weekly Content Build Day?
Every Authority Builder client is assigned a dedicated weekly Content Build Day.
This is protected time on my calendar specifically for your business.
During that time, I work on your content based on our larger monthly strategy, current priorities, previous feedback, and the materials you have submitted.
The purpose of assigning each client a dedicated day is simple: your business receives focused creative time rather than being squeezed reactively into my schedule.
27. When do I need to submit content, photos, ideas, or updates?
Everything you would like considered during that week's content creation must be uploaded to Rella by the night before your assigned Content Build Day.
That includes photos, videos, announcements, events, links, business updates, content ideas, and other materials that may affect production.
This is a firm weekly deadline.
Anything submitted after the deadline will not be included in that week's development tranche. It will move to the following week's Content Build Day.
Late submissions do not create a compressed turnaround or additional midweek production block.
28. What happens after my Content Build Day?
After your Content Build Day, I will send you a Loom video walking you through the work completed.
I will show you what has been created, what is ready to go, what needs your review or approval, what information may still be missing, and any strategic decisions that need your attention.
This gives you the context behind the work without requiring another meeting.
29. When is my feedback due?
You have until the night before your next Content Build Day to provide feedback, approvals, answers, and requested materials through Rella.
Feedback received after that deadline will move into the following week's production cycle.
Our weekly rhythm is:
CONTENT DEADLINE → BUILD DAY → LOOM REVIEW → CLIENT FEEDBACK → NEXT CONTENT DEADLINE → NEXT BUILD DAY
30. Will you remind me every week to submit materials?
Your Content Build Day and submission deadline are part of your established client cadence, so you are responsible for managing that recurring deadline.
You will receive your Loom walkthrough after each Content Build Day outlining what was completed and what requires your attention before the next production cycle.
Keeping this responsibility shared allows our time together to remain focused on strategy and creation rather than administrative follow-up.
31. Where should I communicate with you about content?
Rella is our primary workspace for content collaboration.
Content feedback, revisions, approvals, photos, videos, files, links, and production-related communication must remain within Rella whenever possible.
This creates one source of truth for our work and prevents important information from becoming scattered across email, text messages, DMs, and other platforms.
Email is best for general business, scheduling, and administrative communication.
Texting is reserved for urgent or genuinely time-sensitive matters.
32. Does Rella have an app?
Rella does not currently have a dedicated mobile app.
However, the Rella website can be added directly to your phone's home screen so it functions similarly to an app and gives you quick access to our workspace.
I will walk you through setting this up during onboarding.
33. What happens if I need to cancel our monthly meeting?
Your monthly strategy meeting is dedicated time reserved specifically for your business.
A minimum of 24 hours' notice is required to cancel or reschedule.
Meetings missed, canceled, or rescheduled with less than 24 hours' notice are subject to a $150 missed-meeting fee.
The scheduled 90 minutes also remain counted toward your contracted monthly hours because that time was reserved exclusively for your business.
Missed meeting time cannot be transferred, credited, made up, or added to a future month.
34. What are your working hours?
My regular studio hours are:
Monday–Thursday: 9:00 a.m.–4:00 p.m. Pacific Time
Friday: 9:00 a.m.–12:00 p.m. Pacific Time
I intentionally keep Authority Builder production scheduled within each client's designated Content Build Days, reporting days, and meeting times.
That said, Portia & Cleo is a boutique studio. You have direct access to me throughout my regular working hours when questions or needs arise.

35. Can I text you?
Yes, when something is urgent or genuinely time-sensitive.
Texting should not replace Rella for content submissions, files, revisions, feedback, or approvals.
If something sent via text affects production, it may need to be added to Rella before it can be incorporated into your content workflow.
36. Can we schedule additional calls?
Yes.
Your Authority Builder engagement includes the scheduled strategy and collaboration time outlined in your agreement.
Additional one-off calls for strategy, collaboration, or consultation outside your contracted scope may be scheduled based on availability and are billed at $150 per hour.
I will always confirm when a requested conversation falls outside your included scope before scheduling additional billable time.
37. Does every piece of content need to sell something?
No.
Every piece of content should have a purpose, but that purpose may be education, visibility, authority, trust, connection, discoverability, proof, or conversion.
Your content system should support the sale.
Every individual post does not need to make one.
38. What is my responsibility as an Authority Builder client?
Bring your expertise.
Keep me informed about what is happening inside your business.
Provide requested assets, information, feedback, and approvals by the established deadlines.
Complete your monthly Client Pulse.
Participate in our strategy conversations.
Continue building genuine relationships with the people engaging with your content.
You do not need to figure out what to post, how to turn every idea into content, or how all of those pieces should work together.
That's what you hired me to do.
The Authority Builder works best when both sides honor the system: I protect the time to create and strategize for your business, and you provide the access, information, and timely feedback I need to use that time well.
